How this debit memo generator works

A debit memo, also called a debit note, is operational paperwork. The issuer records that a customer owes an extra amount on top of an existing invoice, usually for an underbill, a freight charge, a price revision, or returns. Both sides can match it to the original invoice. This page is a fillable generator, not a blank file to download and edit later. Fill the fields, watch the totals, then print or download a letter-size PDF.

  1. Enter the issuer (you or your company) and the customer you are billing, including addresses if you want them on the form.
  2. Give the memo a number and a date. Add the original invoice number and date, plus a PO reference if you have one, and pick a reason.
  3. List each extra item with a description, quantity, and unit price. Line amounts, subtotal, tax if you add a rate, and the total debit update in the preview.
  4. Add notes. Sign and date if you want a name on the page, then download the PDF or print it. Email the file yourself. We never see it.

Debit memo vs credit memo

A debit memo increases what a customer owes. A credit memo lowers it. Use a debit memo or debit note when you need to add a charge to an invoice, such as an underbill, a freight cost, or a price change. Keep the original invoice number and date on the memo so both sides can match the records. This PDF is paperwork only. It does not give tax advice, and it does not by itself change or void an invoice. If you need the opposite, use the credit memo PDF. To order materials from a vendor first, use the purchase order PDF.

A useful debit memo names the issuer and customer, carries a unique number and date, lists the original invoice, lists the extra items with quantities and prices, and states a reason. Totals should match the math on the page. Confirm what your customer or finance team requires.
