How this purchase order maker works

A purchase order is the buyer’s written request to a vendor: what you want, how many, at what price, and when you need it. The vendor uses the PO number when they invoice, so both sides can match the order to the bill. This page is a PO maker, not a generic blank template — fill the fields, watch the totals, then download a letter-size PDF.

  1. Enter the buyer (you or your company) and the vendor you are ordering from, including addresses if you want them on the form.
  2. Give the order a PO number and an order date. Add a delivery date and payment terms (Net 30, due on receipt, or your own wording).
  3. List each item with a description, quantity, and unit price. Line totals, subtotal, optional tax, and the order total update in the preview.
  4. Add notes, sign if you need an authorized name, then download the PDF or print it. Email the file to the vendor yourself — we never see it.

Purchase order vs invoice

The buyer issues a purchase order before goods or services arrive. The vendor issues an invoice after (or with) the delivery to collect payment. Keep the same PO number on both documents. This tool only builds the purchase order. If you later need a receipt for rent, use the rent receipt PDF.

A useful PO names both parties, carries a unique number, lists line items with quantities and prices, and states delivery and payment terms. Totals should match the math on the page. This form is a convenience document, not legal or purchasing advice — confirm what your vendor or finance team requires.
